TIME
SHEETS
-
Each department should have a departmental
time keeper.
-
Each non-exempt and temporary employee
should complete an internal time sheet. It
should be signed by the employee and supervisor then submitted to the departmental
time keeper. (Non-exempt employees
are reported on a time sheet, but exempt employees are not.)
-
The departmental time keeper should
use the internal time sheets to complete the master time sheet, sign it,
have the department head sign it and forward to payroll.
-
Time sheets are sent to departments
each pay period. Time sheets
are due to payroll the day after payday.
-
The departmental time keeper should
also keep an internal time sheet as well as record his/her time on the
master time sheet.
-
Time should always be recorded to
the nearest quarter hour.
OVERTIME/COMPENSATORY
TIME
-
An employee must have prior approval
to work over 40 hours a week and to receive compensatory time for those
hours. The full overtime policy
can be found on Human Resource’s web page.
LEAVE
SLIPS
-
Non-Exempt employees (on a time sheet)
should complete a leave request form (http://www.citadel.edu/hr/forms/empleavereq.pdf).
The employee and supervisor should sign it. The
payroll copy of the approved leave slip should be given to the departmental
time keeper.
-
Exempt employees (not on a time sheet)
should enter leave on the LAR system under one-stop desktop.
-
Time should always be recorded to
the nearest quarter hour.
RECORD
KEEPING
-
The department should retain the
yellow copy of the master time sheet with all internal time sheets and
leave slips attached.
-
Time sheets should be retained for
3 years.
