A Special Order (S.O.) is a tool that faculty and staff can utilize for cadets to schedule events that occur outside of their day-to-day routine. It is important that Special Orders are created correctly, and processed in a timely manner. If you need assistance on how to create your Special Order, you can request Special Order Instructions. If you have any questions or concerns, please contact Linda Johnson at ljohns18@citadel.edu or 843-953-5155.
How far in advance do I need to submit a Special Order?
Special Orders should be submitted at least 5 – 7 days in advance. It allows Student Affairs and the Commandant’s Office time to review the order and to communicate with the requestor about any issues. We will always be willing to work with you if you place an order without giving 5 -7 days’ notice, but it can make the process more challenging.
Can a cadet miss a STEM Lab in order to attend an event?
A cadet is unable to miss a STEM Lab to attend an event unless he/she has emailed permission to make up the lab from their professor. The cadet must forward the emailed permission letter to the requestor of the Special Order before the event begins.
How do I know a student has a STEM Lab during the day and time of my event?
The requestor will see the word “Lab” listed in the status bar next to the name of the cadet once their CWID # has been added to the Special Order. The requestor will then be able to click on the magnifying glass to see a cadets’ class list along with the day and time the class is in session. Then the requestor can confirm whether a cadet has a scheduling conflict with a STEM Lab.
Can I miss a final exam for a Special order?
A cadet cannot be approved for Special Orders that take place during a final exam, because final exams cannot be rescheduled.
If a student is on Academic Probation, can he/she miss a class for a Special Order?
Students on Academic Probation (AP) are not allowed to miss a class for a Special Order. If a student’s name is on your list with an AP in the status bar, click on the magnifying glass to see the student’s list of classes. Check to make sure that they do not have a class during the day and time of your event.
How do I make changes to a Special Order that has been published?
Unfortunately, you will not be able to make changes to a Special Order that has been published. Once a Special Order has been published, the creator will need to resubmit the order with the new changes. When re-submitting an order, include in the Request Description what change(s) you have made. These include adding or deleting a cadet, changing the start or end time, changing the start or end date, etc. This information is very helpful to the approval process.
